Trion Solutions lists screening and onboarding among the HR functions it provides for temporary-employment clients, but its public pages do not name one screening company, drug-testing provider or completion timeline used for every employer. Applicants should follow the instructions supplied for the specific position and contact the hiring representative when a check remains pending. This independent guide is not Trion Solutions and does not make hiring decisions.
A pending screening result is not the same as a failed check.
What Trion Solutions means by screening
Trion Solutions is a Professional Employer Organization that provides payroll, benefits, workers’ compensation, HR administration and compliance services to client companies. It also offers staffing and recruiting services.
For temporary employers, Trion specifically lists these functions:
- Onboarding
- Payroll and taxes
- Screening
- HR administration
- Workers’ compensation
- Benefits
- Record keeping
- Regulatory compliance
The word screening does not identify one fixed package.
Depending on the position and client employer, a hiring process could involve employment verification, criminal-record research, professional-license checks, education verification or another job-related review. Drug testing may apply to some jobs, but Trion’s public screening pages do not establish that every applicant receives one.
Do not rely on another candidate’s process. The worksite, position, location and client policy can change what is required.
Who orders the background check?
The employer, staffing business or authorized hiring representative normally starts the screening process. A background-reporting company may then gather and provide the report.
Trion can support screening and onboarding for client employers, while the client may retain control over recruiting standards and the final hiring decision. Trion’s FAQ says it often acts as an extension of a client’s HR department, allowing the internal team to focus on recruiting, hiring, training and workplace policies.
That produces several possible roles:

Does an employer need permission?
Yes, when an employer obtains an employment background report from a background-reporting company.
The Federal Trade Commission says the employer must notify the applicant in a standalone written document that it may use the report for employment purposes. The employer must also obtain the applicant’s written permission before requesting it.
The authorization may be provided electronically.
Read the disclosure before agreeing. Check:
- The employer or staffing company named
- The position connected with the request
- The screening company
- Whether the request matches a job you applied for
- The instructions for contacting candidate support
Do the identity check first. Skip a screening invitation that arrives for an unknown position until the hiring contact verifies it.
Do not send identity documents through a general Trion employee-support description unless an authorized screening process specifically directs their secure submission.
Why a background check may be delayed
Trion does not publish one guaranteed screening time for every client or job.
A report may remain pending because:
- A court or records source requires manual research
- Several counties or states need review
- A prior employer has not responded
- A professional license needs confirmation
- Information entered does not match the records source
- The screening company requested clarification
- A drug-test appointment or laboratory result remains open
- The employer has not reviewed a completed report
The screening company and employer may also display different statuses. A vendor can mark its research complete while the hiring team still shows the overall onboarding step as pending.
Check which stage is delayed.
Ask: “Is the screening company still researching the report, or is the completed result waiting for employer review?”
That question is more useful than repeatedly submitting the screening form.
What applicants should do while a report is pending
Begin with the original invitation or hiring contact.
A reasonable sequence is:
- Confirm that the screening request was submitted.
- Check the candidate portal or status link supplied in the invitation.
- Look for an incomplete task or requested clarification.
- Contact the screening company for report-processing questions.
- Contact the recruiter for hiring and start-date questions.
- Preserve confirmation messages.
Do not create another screening order unless the employer directs it. Duplicate reports can attach to different requisitions or create uncertainty about which result applies.
Trion’s public employee-support form lists Payroll, Human Resources, Employee Benefits, Accounting, and General Questions & Client Services. It does not display a dedicated background-check department.
A current applicant should normally begin with the recruiter or onboarding representative rather than the payroll portal.
Is drug testing required for every Trion position?
Trion’s public materials do not say that all client employees or staffing applicants must complete a drug test.
Requirements can depend on:
- Client policy
- Job duties
- Industry
- Worksite safety rules
- Federal or state regulation
- Collective bargaining terms
- Contract requirements
A warehouse placement, transportation role and office position may follow different rules.
Use the instructions attached to the actual job. Skip assuming that a test mentioned in a similarly named company’s listing applies to Trion Solutions.
Live search results for “Trion Solutions jobs” frequently mix in listings for Tricon Solutions and for Trion IAQ, an unrelated indoor-air-quality business.
Spelling and employer identity matter here.
What if the report contains incorrect information?
Request and review the report.
The FTC says that before an employer takes an adverse employment action based on a consumer report, it must provide:
- A copy of the report used
- A copy of A Summary of Your Rights Under the Fair Credit Reporting Act
This pre-adverse notice gives the applicant an opportunity to identify errors before the employer makes the final decision.
Possible errors include:
- A record belonging to another person
- Incorrect case disposition
- Duplicate entries
- Employment dates that do not match
- A license incorrectly shown as inactive
- Outdated or incomplete information
Read the actual report. Skip arguing only from a vague “background check issue” message.
Identify the disputed entry, why it is wrong and what source may confirm the correction. Submit the dispute through the screening company’s stated procedure and notify the hiring contact that the report is being challenged.
What is a pre-adverse action notice?
A pre-adverse action notice means the employer is considering a negative employment decision based at least partly on the consumer report.
It is not necessarily the final decision.
The FTC says the employer must provide the report and the FCRA rights summary before rejecting an applicant, ending employment, denying a promotion or taking another adverse action based on the report.
This stage gives the person time to review the information and explain or dispute it.
Respond promptly.
A useful response should:
- Identify the inaccurate item.
- State that a dispute has been opened with the screening company.
- Provide the dispute reference through the authorized channel.
- Ask whether the employer will hold the decision while the dispute is reviewed.
- Keep copies of all notices.
Federal guidance does not establish one universal number of days that every employer must wait between pre-adverse and final adverse action. State or local rules may impose additional requirements.
What is the final adverse action notice?
After taking the negative action, the employer must provide an adverse action notice when the consumer report influenced the decision.
The FTC says the notice must include:
- The name, address and telephone number of the reporting company
- A statement that the reporting company did not make the employment decision
- Notice of the person’s right to dispute the report
- Notice of the right to obtain another free copy from the reporting company within 60 days
Contact the screening company to correct report data. Contact the employer about its hiring decision.
Those are separate questions.
The reporting company can explain the report and dispute process, but it normally cannot explain why the employer chose one candidate over another.
Can a criminal record automatically block employment?
Not every record automatically disqualifies every applicant.
The EEOC warns employers against using criminal-record policies that disproportionately exclude applicants of a particular race or national origin when the policy is not job-related and consistent with business necessity.
Relevant questions can include:
- The nature and seriousness of the conduct
- How much time has passed
- The duties and risks of the position
- The accuracy and disposition of the record
- Additional information supplied by the applicant
Federal equal-employment law also prohibits applying background checks differently because of race, national origin, color, sex, religion, disability, genetic information or age 40 and older.
State and local laws may provide broader protections, including restrictions on when criminal-history questions can be asked.
Rules vary by region.
Why onboarding can remain locked
A client employer may condition later onboarding tasks on completion or review of the screening process.
An applicant might complete a portal registration yet see no payroll, tax or onboarding work because:
- The screening is not complete
- The offer remains conditional
- The client has not released the hire
- The start date has not been activated
- The employee record has not been created
- The applicant opened the employee HRIS too early
The current Trion HRIS page offers Sign In, Register and Sign In with PrismONE ID, but registration itself does not prove that hiring approval is complete.
Contact the recruiter first. Skip registering several employee accounts to make tasks appear.
The hiring representative can determine whether the issue belongs to screening, client approval or HRIS setup.
How Trion says screening data may be used
Trion’s worksite-employee privacy policy states that employment-related information may include data gathered through background checks and employment-reference verification. The policy also describes information connected with evaluating applicants, candidates, worksite employees and promotions.
That confirms screening information can form part of Trion-administered employment records.
It does not disclose the specific screening package used for every client or how long each report is retained. Those details can depend on the client relationship, vendor and applicable law.
Applicants with a privacy question should use the method identified in the relevant Trion privacy notice or contact the hiring representative for the screening provider’s information.
Two mistakes that delay a hiring check
Contacting payroll about a candidate report
Payroll handles wages and tax records. Start with the recruiter, onboarding representative or screening company for pre-hire status.
Repeating the same screening application
A second submission may create a duplicate file rather than accelerate the first report. Resolve the pending item attached to the existing order.
